5K a year 16 hours ago 16 hours ago 16 hours ago Administrative Assistant (Residential Department) POSITION SUMMARY Reporting to the applicable Director of Residential Supports, the Administrative Assistant is responsible for performing routine and complex administrative duties for the department supported.
This position will need to communicate with multiple members of department management teams.
Qualifications Education:
High school diploma or equivalent; college-level coursework in Business or related field preferred.
Bachelor's Degree a plus.
Experience:
Minimum of (3) years of related work experience, as well as proficiency in office management duties.
Experience with nonprofit organizations a plus.
Skills:
Good oral and written communication skills required.
Strong interpersonal skills, professional demeanor and appearance required to interface with all levels within the organization.
Strong organizational skills required, as well as an attention to detail to effectively support applicable department or program.
Must be a self-starter, with the ability to handle multiple projects within prescribed deadlines.
Must be able to work independently or as a member of the administrative team.
Strong computer literacy required with a proficiency in Microsoft Office.
ESSENTIAL FUNCTIONS Maintains records, files and other documentation for the department/program supported.
Prepares and processes applications, reports (e.
g.
, compliance, financial, etc.
), invoices and billings as directed.
Creates and maintains logs, schedules, databases, and directories specific to the department/program supported.
Prepares binders, booklets, and other presentation materials in support of program development efforts, annual meetings, curriculum, and individual program development.
Utilizes Cims as necessary for communication and information retrieval.
Administratively supports members of the department management team as instructed Completes additional administrative tasks as directed by management.
Collects, organizes, and interprets data from multiple sources to present findings to Director and department members.
Provides Director and management data in various formats- spreadsheets, pivot tables, charts, and graphs.
REQUIRED TRAINING/PROFESSIONAL CERTIFICATIONS Completion of CSAAC and State mandated training as applicable.
PHYSICAL REQUIREMENTS While performing the duties of this job, the employee is regularly required to talk, hear, and use hands to finger, handle or feel objects, tools, or controls.
Specific vision abilities required by this job include close vision.
This position requires frequent standing, walking, bending, kneeling, and stooping.
The employee must have the ability to lift and/or move items over 20 pounds.
